Job Description

General Summary:
The HR Administrative Assistant is responsible for supporting the HR department through various strategic and administrative aspects to ensure that the department functions properly and all employees receive proper service. This position will require various levels of HR acumen including but not limited to compensation and benefits, data analysis, employee engagement and endearment, and other activities.

Essential Job Functions & Responsibilities:

•  Employee Engagement: In conjunction with the HR Managers and the Head of Human Resources, stay abreast of employee engagement matters. Hold meetings to discuss engagement issues and make recommendations to the Head of HR for improvements. Make recommendations on workplace and benefit improvements to help improve engagement.
• Employee Endearment: The HR Administrative Assistant should coordinate and execute various employee endearment activities including dinners, lunches, employee recognition events, volunteer activities, etc. Manage employee birthday and anniversary awards recognition through the appropriate vendors. Update the communication boards with HR information, company-updates, etc. for all locations.
• Training & Development: Participate in the ongoing process of employee training and development. Identify training opportunities. Facilitate SuccessFactors Learning Management Systems and ensure employees are receiving and completing required trainings. Assign trainings to employees as necessary and ensure proper tracking methods are in place. Work with the HR Managers and the Head of Human Resources on recommendations for training.
• Policies & Employee Handbook: Assists in ensuring compliance with company policies and procedures and that all available policies to the employees are up to date. Has knowledge of all ACTEGA and ALTANA company policies that govern HR. Provide input and recommendations on new policies or updates.
• Visiting Employee Support: Provide International visitors, interns, and other employees assistance in securing housing, and transportation for temporary and/or permanent stays in the U.S.
• Administrative Functions: File papers, respond to emails, track and retain paperwork, order business cards for employees as needed, and complete other administrative duties as required for the position. Provide support as needed to the Head of Human Resources and Human Resource Managers for administrative duties including but not limited to headcount census files, responding to unemployment claims, ad hoc reports, etc.
• New Hire Onboarding: Obtain/track approvals for job requisitions, prepare offer letters, communicate with new hires their onboarding schedules, coordinate/schedule pre-hire screens and employment verification.
• Office Coordination: Serve as the primary contact for the coordination of HR mail distribution. Pick-up mail from the sites and distribute accordingly. Maintain stock levels for office supplies. Handle ancillary items that arise in the office that are uncommon yet require attention and execution.

Minimum Qualifications:

• Associate’s Degree in Business or related field strongly preferred
• Minimum 3 years’ experience in an office-support position required with prior HR experience strongly preferred
• SHRM PHR certification preferred
• Strong organizational skills
• Ability to work and make decisions about routine matters independently
• Proficient with MS Outlook, Word, PowerPoint, and Excel
• Strong sense of discretion and professionalism

Physical Demands and Work Environment:

• Work in an office environment at a desk in front of a computer > 80%
• Ability to drive between multiple, local, offices to interact with employees and execute meeting needs
• Ability to bend, stoop, squat, and lift < 20% of the time
• Ability to travel, when required, to plan and execute business meetings
